Tactopus Learning Pvt Ltd introduces "Goalsheets" as a modern-day report card sent by specialists to parents. These comprehensive reports highlight the short-term and long-term goals achieved by the child across various areas of development. After 3 sessions, the specialists share the Goalsheets with parents. To ensure quality assurance, the Tactopus team thoroughly reviews the Goalsheets before delivering them to parents. This process ensures that parents receive valuable insights into their child's progress and accomplishments.

The program administrators face challenges in efficiently organizing and delivering goalsheets sent by specialists to parents for children who have completed a specific number of sessions.

Currently, the goalsheets are received and sent through mail, requiring manual handling. Additionally, specialists need a reliable system to track and manage the distribution of goalsheets among multiple students they handle concurrently.

  1. One platform: Create a single platform where customers can find information about cafes and restaurants, eliminating the need to visit multiple websites or applications.

  2. Relevant information at fingertips: Provide customers with comprehensive and up-to-date information about dishes, menus, and restaurant details to facilitate informed decision-making.

  3. Seat selection: Allow customers to select their preferred seats in advance, ensuring a personalized dining experience and reducing waiting times.

  4. Bill splitting: Enable customers to easily split bills with friends or colleagues, making the payment process hassle-free and efficient.

  1. Empathize:

    • Conducted user interviews with specialists and program team members to understand their experiences, pain points, and needs.

    • Used affinity mapping to consolidate interview findings and identify common themes.

  2. Define:

    • Finalized a problem statement based on the insights gathered during the empathize phase.

    • Aligned the problem statement with the needs and expectations of program administrators and specialists.

  3. Ideate:

    • Engaged in brainstorming sessions to generate a wide range of potential solutions and ideas to address the identified problem.

    • Explored various possibilities for improving the organization and distribution of goalsheets.

  4. Design:

    • Created sitemaps to visualize the structure and hierarchy of the digital platform, ensuring efficient organization and navigation.

    • Developed user flows to outline step-by-step interactions and processes for handling and distributing goalsheets.

    • Created low-fidelity wireframes to visualize the layout, content, and functionality of the digital platform.

    • Collaborated with the team to review and refine the wireframes, incorporating feedback to enhance usability.

    • Translated the wireframes into high-fidelity designs, applying visual aesthetics and interactive elements for an appealing user interface.

  5. Test and Implement:

    • Provided the final design assets and specifications to the tech team for implementation.

    • Measured the impact of the design solution by gathering feedback from program administrators, specialists, and parents.

    • Evaluated the effectiveness of the solution in addressing the identified problem and meeting the goals set earlier.

Through these interviews, I collected valuable data which I then consolidated and analyzed. I focused on identifying the problems faced by the users and sought potential solutions. To ensure a thorough understanding, I documented my observations and insights from the interviews using an Affinity Map.

To provide clarity and organization, I categorized the program team's statements and my own observations as follows:


  • Program Team Statements: Key statements provided by the program team regarding the challenges and issues encountered in the goalsheets process.

  • My Observations: Detailed observations and analysis of the program team's statements and the existing workflow.

  • Insights: Valuable insights derived from the combination of the program team's statements and my own observations.

  • Quick Design Ideas: Rapid design concepts generated in response to the identified issues and insights.

During the ideation phase of the case study, we brainstormed potential solutions and thoroughly analyzed the pain points identified earlier. Building upon these insights, we created a comprehensive feature map that outlined the necessary components to be developed. This mapping exercise provided a holistic view of how the platform would function system-wide. With this understanding, we began defining a specific step-by-step process to address the identified challenges.


Two distinct portals were identified as essential for the goalsheets process:

  1. Specialist Portal: This portal would cater to the needs of specialists who would be responsible for generating and submitting the goalsheets. It would provide them with a user-friendly interface to input relevant information, track progress, and manage goalsheets for multiple students efficiently.

  2. Tactopus Team Portal: This portal would serve as a dedicated platform for the Tactopus team. They would utilize this portal to review and ensure the quality assurance of the goalsheets before they are sent to parents. The portal would enable them to monitor the distribution process, track when goalsheets are sent, and manage communication with specialists effectively.
